Your subscription: choose a plan, pay and find your invoices

The 30-day Pro trial, the four plans and what they include, the payment method at Stripe, cancelling and resuming, read-only mode and invoices.

Each trail site has its own subscription. It starts with a 30-day trial of the Pro plan: everything is open, free of charge and with no credit card. Before the trial ends, you choose the plan that suits you and add a payment method. Your crew then keeps working without a single interruption.

The subscription is managed on the Web, by an administrator of the site. The mobile app has nothing to set up: it simply follows the site's plan.

The Pro trial

The trial starts when the site is created, at the end of the first sign-in wizard. For 30 days, every feature of the Pro plan is open.

A Trial pill stays at the top of the screen, next to the activity picker. Its ring empties as the days go by, and it shows how many days are left. Clicking it opens the Subscription page. As long as no card is on file, its button reads Choose a plan; it turns orange during the last seven days.

Seven days before the end, a window reminds you when you open Sentinel: "7 days left". It compares the Field, Standard and Pro plans by the month. Choose a plan leads to the Subscription page, Later closes it without changing anything. This reminder doesn't come back for the same date in that browser.

The Subscription page

The top of the page sums up where you stand.

  • The banner tells you where the trial or subscription is at: the trial's end date and the days left, the date the card will be charged, or the end of a canceled subscription.
  • Plan and Status: Trial, Active, Cancellation scheduled.
  • Next invoice and Next amount. The amount comes from the upcoming invoice at Stripe and includes taxes; without a payment method, no amount is shown.
  • Access ends, when access will stop on a given date: a trial without a card, or a canceled subscription.
  • Payment method: the card on file, or None.

The button on the right opens the payment portal: Add a payment method if there is none yet, Add or change card otherwise.

The plans

Further down, Available plans shows the plans side by side, with one row per feature. Your plan's column is tinted and marked Current plan.

  2. 2One row per feature: a green check if the plan includes it.
  3. 3Your plan's column, tinted.
  4. 4Current plan at the bottom of your column, Choose this plan in the others.
  5. 5Request access, for the Community plan.

Field$35$385Tasks, in the field
Standard$75$825Projects and time tracking
Pro$105$1,155The complete solution

Prices are in Canadian dollars, taxes not included. The Monthly / Yearly toggle shows yearly prices: yearly costs eleven months, which means one month free.

What each plan includes:

  • Field: tasks, the mobile app and public reports.
  • Standard: everything in Field, plus conversations, projects, time tracking, timesheets, work roles and their costs, map annotations, planning and data exports.
  • Pro: everything in Standard, plus structures, inspection reports, bulk editing, checklists, trail conditions, custom task types and difficulty levels.
  • Community: everything, like Pro.

The Community plan isn't chosen with a click: Request access opens the page that presents it on our website, with the request form.

Changing plans

Choose this plan, at the bottom of a column, changes the plan right away, with no confirmation window.

  • During the trial, the change costs nothing and the trial keeps its end date. You can try Standard, go back to Pro, switch to yearly: the trial still runs until the same day.
  • With an active subscription, the amount is prorated over the time left: the difference is added to the next invoice, or deducted from it. Switching from monthly to yearly, or the other way around, charges the difference right away; if that payment is declined, the plan doesn't change and the page tells you so.

To switch to yearly on the same plan, choose Yearly at the top of the table: your plan then shows Choose this plan.

A section your plan doesn't include

A section your plan doesn't include stays in the menu, with a small padlock. When you open it, you see a preview of what it brings, the plan that includes it and its price, with a Move to the Pro plan (or Standard) button that leads to the Subscription page.

The Projects section, opened on a site on the Field plan.

  1. 1The padlock on sections your plan doesn't include.
  2. 2A preview of the section, under a veil.
  3. 3Move to the Standard plan, with its price and yours.

Moving to a smaller plan deletes nothing: structures, checklists or projects already created stay in the site and reappear as soon as the plan includes them again.

The payment method

Cards are stored by Stripe, our payment partner, never in Sentinel. Add a payment method sends you to Stripe's secure portal, under the name Logiciel Sentinel.

In the portal, Add payment method accepts a card or a pre-authorized debit. The portal also shows the current subscription, your billing information and the invoice history. Return to Logiciel Sentinel, at the top left, brings you back to the Subscription page.

During the trial, the card is not charged right away: it will be on the day the trial ends, and the banner says so. The pill at the top then shows Manage instead of Choose a plan.

Cancel, then resume

Cancelling happens in the same portal: Add or change card, then Cancel subscription. Stripe asks for the reason, then for a review before you confirm.

Cancelling doesn't cut anything off right away. It takes effect at the end of the current period, with no refund for the period already started. Until then:

  • the orange banner shows the end date and reminds you that no further invoice will be issued;
  • the status becomes Cancellation scheduled, and the pill at the top Subscription canceled;
  • the Resume subscription button undoes the cancellation, as long as the date hasn't passed.

A canceled subscription, before the end of the period.

  1. 1The Subscription canceled pill, at the top of the screen.
  2. 2The orange banner: the end date, and no further invoice. The status becomes Cancellation scheduled.
  3. 3Resume subscription undoes the cancellation.

Once the date has passed, the site becomes read-only.

Read-only mode

The site becomes read-only when the trial ends without a payment method, when a canceled subscription reaches its end, or when a payment is declined.

In read-only mode, everyone can view trails, tasks and structures, but creating, editing and exports are paused. Nothing is deleted.

When Sentinel opens, a window explains the situation: "Your trial period has ended", "Your subscription was canceled" or "Your last payment was declined". An administrator then chooses a plan and adds a payment method (or updates the card), and full access comes back immediately. Other members are asked to contact an administrator.

  1. 1Access is suspended, but your data is preserved.
  2. 2Your trial's plan, highlighted.
  3. 3Choose a plan leads to the Subscription page.

In the mobile app, read-only mode shows right away: the map and tasks stay visible, but the + button goes away, like the editing buttons. It comes back as soon as the subscription is settled.

  1. 1The + button is gone: creating is paused.
  2. 2Tasks stay on the map, and you can still open them.

Billing

Account → Billing lists all of the site's invoices: their date, number, description, total and status. Unpaid invoices come first, then the most recent ones. The search at the top right finds an invoice by its number.

  • The download icon opens the invoice PDF, ready for bookkeeping.
  • An unpaid invoice has a Pay button, which opens Stripe's payment page.

  1. 1Search by invoice number.
  2. 2The unpaid invoice, at the top of the list.
  3. 3Pay opens Stripe's payment page.
  4. 4The download icon opens the PDF.
  5. 5A $0 invoice left by the trial.

Plan changes during the trial leave $0 invoices ("Free trial for…"): that's normal, nothing was charged.

Who can do it

The subscription depends on the role's Billing permission, described in roles:

  • View lets someone see the subscription and download invoices, for bookkeeping for example;
  • Edit lets someone change plans and manage the payment method. Administrators have it.

Without the Edit level, the Subscription page shows: "Only a place administrator can change the subscription or the payment method."

Three tips

Add the card before the trial ends. It's only charged at the end, and your crew never sees read-only mode.

Try before you choose. During the trial, changing plans costs nothing: switch to Standard for a few days to see what you would miss.

Consider yearly. For a network maintained all year round, yearly gives you a month free and a single invoice.
