Every hour your crew logs, all the way to payroll
Hours are logged on tasks and checklists, in the field or at the office. The Timesheets section brings them together — by person, by role, by project, with their cost. You check them, you close the pay period, and the Excel file goes to accounting.
What is a timesheet in Sentinel?
It's the sum of the hours your team logged on tasks and checklists over a period: who worked, for how long, on what, in which role and at what cost. You can read it for the whole team or for a single person, close it one pay period at a time, and export it to Excel.
- Replaces
- Paper timesheets filled out on Friday, “I did 6 hours yesterday” messages and the spreadsheet rebuilt every payroll.
- Where it happens
- Hours logged from the task, on the phone or on the web; timesheets read and closed on the web, under Organization → Timesheets.
Hours are logged where the work happens
Nobody fills out a separate sheet. Hours are logged on the task or the checklist when the work is done — for the whole crew at once, each at their own work role. The rented excavator or the contractor without an account come in too, at their role's rate. On the phone, even without signal.
- One entry for the whole crew, each at their role
- Resources without an account count in the totals
- The rate is frozen when the hours are logged
My time: your own hours, in your pocket
Everyone finds their own hours in the mobile app: the gear on the home screen, then My time. The Week tab shows one bar per day, the total and each entry; the arrows move from week to week. The + button logs time without hunting for the task on the map: the app suggests your assigned tasks, the ones you opened recently and your checklists. The Year tab sums up your months, by project, by trail and by task type.
- The + or an empty day of the week opens an entry on that date
- Your assigned and recent tasks, ready to pick
- A closed week shows as closed, with no edits possible
The whole team, from whatever angle you need
Pick the period — this week, the last two, the month, or the current pay period — then group by person, role, project or task. Each row shows its hours, its share of the total and its cost, and the period total stays at the bottom. Filter on one person, role or project, and every figure follows.
- Four groupings: person, role, project, task
- Hours and labour cost, row by row
- Cost only shows to people allowed to see it
Everyone's week, day by day
A row in the summary opens that person's timesheet: their week as a grid, one row per task or checklist, one column per day, with totals. Below it, each of their entries, ready to fix with a click on the pencil. The same sheet also lives in the member's profile.
- Totals by day and by task
- One week at a time, with a jump back to “This week”
- Their timesheet exports on its own
Every entry, and bulk fixes
The Entry details tab lists every entry in the period: date, person or resource, role, task, description, who logged it, duration and cost. Search covers everything, from names to descriptions. A day logged on the wrong date? Tick the entries and change their date in one move.
- One row per entry, with who logged it
- Search across people, tasks, projects and descriptions
- Change the date of, or delete, several entries at once
A closed period stays put
Set your pay cycle — every week or every two weeks — and Sentinel splits the periods. When a period ends, a reminder asks you to check it and close it: its hours and cost are frozen exactly as sent to payroll, and its entries can no longer change, on the web or on mobile. An hour logged offline that arrives afterwards is flagged for the next payroll.
- A weekly or every-two-weeks cycle
- Entries in a closed period are locked everywhere
- The last closing can be reopened if a mistake slipped in
The payroll file, ready to send
The export picks up the period and the filters on screen. A preview shows the file before you download it: a Summary sheet, grouped as on screen, and a Detail sheet, one row per entry, ready to copy into payroll. Closing a period even offers to download its file along the way.
- Two sheets: the summary and the detail
- Rates and costs, for people with the Amounts permission
- The period's file, downloaded when you close it
Frequently asked questions
Who can see the team's timesheets?
People whose role can manage members. Labour cost only shows with the Amounts permission. Everyone can always read their own entries.
Does every timesheet need to be approved?
No. Sentinel has no approval workflow: closing replaces it. You check the period, you close it, and its entries stay put.
What happens to an hour logged offline and synced after closing?
It stays in its period and is flagged: a banner, a pill on the row and an “Arrived after closing” filter. It isn't in the file already sent to payroll: carry it over to the next one.
Are timesheets in the mobile app?
Hours are logged on mobile, even without signal. The Timesheets section itself is on the web. On the phone, everyone finds their own time report in their settings.
Which plans include timesheets?
The Community, Standard and Pro plans. The Field plan doesn't include them.
